Onboarding Checklist
If you're viewing this from a mobile device, and you're looking for Help Docs on individual TablelistPro features, please click the three lines on the top righthand side of the page.
If you're new to TablelistPro, you've come to the right place! Complete the checklist below to get started with our platform and begin the setup of your account.
1. Download the TablelistPro Mobile App
Our app is available free of charge on both iOS and Android devices. However, we recommend using iOS devices as TablelistPro is optimized for its operating system.
2. Order Hardware
If you need to order hardware, this is what we suggest you buy:
3. Send Us Your Floor Plan
If your venue accepts table reservations, email a file of your floor plan in JPG or PNG format to your account representative. You can always edit this later on. Ensure all table numbers are clearly marked so we know which tables to add on the backend and where.
Once the floor plan has been uploaded, you can view its setup on this page:
- Open the sidebar
- Select Venue
- Click Floorplans
Note that this is only the backend, setup version of your floor plan. You can view the live version on the app by tapping Venue Map or by clicking Map on this page.
4. Update Your Settings
Prior to selling tickets and/or tables, ensure all of your settings are filled out. For proper onboarding, we strongly advise you to complete every designed field including:
- Venue information
- Branding, logo, primary color, and venue photos
- Settings for reservations, inventory, events, chit receipts, checkout, etc.
To update your settings:
- Open the sidebar
- Select Venue
- Fill in the blanks on the Info, Branding, and Settings tabs
An example of a Reservation Note can be found below. Please be as detailed as possible.
- Thank you for booking with us! Here are a few details to help you understand and enjoy your reservation.
- Check-In: Reservation party host must check in by 12am. Failure to do so will result in reservation being released without refund. Credit card used at purchase must be presented, along with matching valid photo ID, by the card holder upon entry. If any of the card holder, credit card, or matching valid photo ID are not present, entry will not be allowed. All bags are subject to inspections by security. No outside food or beverages are permitted.
- Beverage Minimums: Each reservation is subject to a beverage minimum dependent on date and time. This is the total amount you need to spend before 8% tax and 20% gratuity. Failure to meet the beverage minimum will result in a charge to reach that minimum before tax and 20% gratuity.
- Cancellations/No Shows: All sales are final. A refund will only be issued if the reservation is cancelled within 24 hours of the scheduled time. Processing fees are non-refundable under all circumstances. Seeking a chargeback for sales to this event may result in ticket cancellation and refusal to honor future pending sales from the credit card the chargeback was initiated on.
- Venue Policies: Venue reserves the right, including without limitation, to cancel, suspend, or modify the event, reservation or ticket at its sole discretion. Venue reserves the right to refuse entry to guests for any reason, including but not limited to: underage patrons, visible intoxication, client presents a danger to himself or herself, or failure to adhere to dress code. Management, at its sole discretion, may assess an additional cleaning fee in the minimum amount of $150 or more for any damage that may occur to any furnishings, surfaces or flooring within the venue caused by bio-hazards or other, which may require more than routine cleaning.
- Parking: Parking is available at [area]. We currently do not offer valet parking services and do not validate parking for [the garage]/
- Any disregard or violation of the above terms and conditions will automatically void reservation(s)/ticket(s) purchased and all costs incurred by guest will be non-refundable.
- For any further questions or concerns, email [Name] at [email] or call [phone number].
An example of Terms & Conditions can be found below. Please be as detailed as possible.

5. Add Your Employees to TablelistPro
You are provided an unlimited number of accounts, so each staff member should have their own login.
To add a staff member:
- Open the sidebar
- Select Organization
- On the Staff tab, click the purple plus sign, then fill in the staff member's name, email, and phone number
- Next, navigate to the Permissions tab to choose their permissions
- If you operate multiple venues, you'll have to select the permissions for each one
- Next, go to the Notifications tab to customize their email, text, and push notifications
- After you click Save, they will receive an email from us to set their password
- Repeat this step for all Promoters by clicking the Promoters tab
Sharing accounts is greatly discouraged for security and tracking purposes. For more details on adding staff members, go to this page.
You control exactly who sees what on TablelistPro. For more details on choosing permissions, go to this page.
You and your staff can get notified via email, text, and push notifications when a reservation is requested, when a booking is made, when a payment link is completed, when a customer checks in, and more. For more details on choosing notifications, go to this page.
6. Send Inventory Information and Create Events
When setting up your account, we always add VIP table and/or ticket inventory on your behalf to avoid potential mistakes and confusion. When you're ready to set this up, please contact your sales rep.
However, because inventory is separate from events, you can create events in TablelistPro at any time.
7. Select and Embed Your Website Widget
View a list of our instant booking widgets, along with instructions on how to install each one on your site, by jumping to this page.
- Inventory Map shows a list of ticket and/or table inventory available for that night along with an interactive map for guests to select their exact table/section
- Inventory List is just the list of ticket and/or table inventory without the map
- Reservation Request Form allows guests to submit a reservation request, which you'll then manually approve/deny in your Leads tab
- Guest List Form allows guests to add themselves to the guest list (though we recommend just adding in $0 tickets to your inventory instead of using this)
- Event List displays a collection of your upcoming events vertically
- Event Calendar shows your events by month
- Event Carousel displays upcoming events horizontally with left/right arrows
- Event Grid shows three rows and columns of events (nine total) with the option to view more
In order to utilize any of our event widgets, you must add events and make the public in TablelistPro so they populate on the widget.
If you need any help with the installation process, loop your website developer in with your sales rep, and we will assist.
Before reaching out with questions, we encourage you to read through the Help Docs section, as most questions can be answered on that page.
